OFFICE MANAGER
SUMMARY: This is a full-time in-office position and responsible for managing a variety of general office activities including HR, Payroll, Accounts Receivable and Accounts Payable.
REQUIREMENTS:
- 4-year College Degree; or four years related experience and/or training or equivalent combination of education and experience.
- Excellent computer skills

- Must possess strong interpersonal communication skills.

ESSENTIAL DUTIES AND RESPONSIBILITIES, OTHERS MAY BE ASSIGNED:
- Analyzes and organizes office operations and procedures such as accounts receivable/payable, daily deposits, preparation of payroll, record keeping, requisition of supplies, and other clerical services.
- Maximizes office productivity through proficient use of appropriate software applications such as Business Works, Admate, and Microsoft Office Suite
- Researches and develops resources that create timely and efficient workflow.
- Manages HR issues with support from our Human Resource Consultant agency.
- Establishes uniform correspondence procedures and style practices.
- Develops annual budgets for the CNY Business Journal and BizEventz
- Prepares activities reports and record keeping for publisher and sales staff.
- Maintains contact with customers and outside vendors.
- Monitors postage machine and office supplies, refill/order as needed.
COMPUTER SKILLS:
To perform this job successfully, an individual should have knowledge of an Office Management software such as Microsoft Office Suite; Accounting software; Payroll systems and Internet software.
Must have ability to operate a telephone, desktop computer, printer, photocopier, and fax machine.
Math Ability:
Ability to calculate figures and amounts such as daily deposits, budgets, discounts, interest and percentages. Ability to apply concepts of basic algebra and geometry.
Must have at the time of hire, and maintain throughout employment, a valid NYS Driver’s license. Must have a vehicle, available all the time.

Inside Sales Specialist
Job Summary:
This position is part-time and responsible for assisting the sales team with administrative duties and generating leads.
Responsibilities Include:
- Prepare and create new client lists from leads in other sources including inactive accounts for the sales team.
- Schedule appointments for the sales representatives by phone and email
- Use CRM Tool, coordinate efforts and maintenance and be able to train sales reps
- Maintain and update CRM Tool Training manual, if needed
- Yearly design, layout and coordinate media kit pieces with assistance from Sales Manager
- Handle all outside advertising requests to distribute to appropriate sales representatives
Qualifications:
- Proficient in Microsoft Office suite
- Prospecting skills a must.
- Strong relationship-building skills
- Must be organized, self-motivated and assertive
- Excellent communications skills
- Professional appearance mandatory
Must have at the time of hire, and maintain throughout employment, a valid NYS Driver’s license. Must have a vehicle, available all the time.
Work Experience:
- 2+ years in sales is preferred, but not required
- Digital advertising experience is a plus
Education:
- College degree preferred
This is an office position, not hybrid.
